Contracts, Procurement & Maintenance Agreements

For property managers, facility teams, hospitality groups, general contractors and procurement departments who need an independent equipment repair vendor with a written scope and documented findings.

How KONGRA engages on contract work

Written scope, paid diagnostic, estimate after inspection, approval before repair

KONGRA LLC is an independent appliance and equipment repair company serving San Jose, Los Gatos and the surrounding Bay Area. Contract engagements follow the same discipline as single visits: a defined written scope, a paid diagnostic, a written estimate after inspection, and repair only after approval.

Nothing is promised that is not written down: no guaranteed response times, no contract history or client lists that cannot be documented, and no claim of manufacturer authorization. Send a scope and KONGRA will respond with a plain assessment of fit, the diagnostic approach, and what would need a properly licensed specialist.

Procurement pathways

Five ways organizations work with KONGRA

Opportunity review

Send the scope and KONGRA will tell you plainly whether it is a fit. Every opportunity is checked against three things: the equipment types KONGRA actually services, the geographic service area, and the licensing and insurance limits of the work described.

  • Equipment list and fault history reviewed against KONGRA's service scope
  • Geographic feasibility checked against the Bay Area service area
  • Licensing and regulated-work requirements identified early
  • A clear yes, no, or 'yes with a licensed specialist' answer

RFQ / RFP service scopes

KONGRA quotes against written scopes for diagnostics, corrective repair and scheduled maintenance on residential, commercial foodservice, refrigeration, HVAC-diagnostic and selected industrial equipment.

  • Diagnostic-only scopes and condition assessments
  • Corrective repair scopes with parts handled transparently
  • Scheduled preventive maintenance across an equipment list
  • Multi-site and multi-unit portfolio scopes

Subcontracting & teaming

KONGRA works as an independent subcontractor to general contractors, facility management companies, hospitality groups and equipment vendors under written agreements. Where a scope requires a license KONGRA does not hold, KONGRA coordinates with a properly licensed independent contractor rather than performing it.

  • Independent subcontractor under written agreement
  • Coordination with properly licensed independent contractors where required
  • Documented findings suitable for a general contractor's records
  • Clear scope boundaries agreed before mobilization

Maintenance agreements

Recurring maintenance is defined in writing: which assets, how often, what is inspected, and what is reported. Nothing is implied — response expectations only exist where they are written into a signed agreement.

  • Named equipment list with location and asset identifiers
  • Visit frequency and inspection checklist agreed in advance
  • Written condition report after each visit
  • Corrective work quoted separately and approved before it starts

Vendor qualification

KONGRA LLC is an independent service company. It is not affiliated with, endorsed by, sponsored by or authorized by any manufacturer. Brand names are used only to identify equipment serviced.

  • W9 available upon request
  • Certificate of insurance available upon request
  • Written scope, written estimate, approval before work
  • Documented findings and measured values with each job

What to include when you send a scope

The faster this arrives, the faster you get a real answer

  • Organization name and the person coordinating the work
  • Site address or addresses covered by the scope
  • Equipment list — type, make, model and quantity where known
  • Fault description or the maintenance outcome you need
  • Access constraints, service windows and site requirements
  • Response due date for the RFQ or RFP
  • Site-walk date, if one is scheduled or required
  • Required quote format — your own form, a line-item breakdown, or a written scope letter
  • Any required vendor forms, insurance limits or invoicing process

Send scopes by email or use the contact page. Secure online scheduling is available separately from the business identity.

Government & municipal opportunity review

Reviewed on the same terms as any other scope — no claimed status beyond what is documented

KONGRA LLC will review a public-sector or municipal solicitation for equipment diagnostics, repair or scheduled maintenance the same way it reviews any other scope: against the equipment types it actually services, the geographic service area, and the licensing and insurance limits of the work described. If a solicitation requires a registration, certification, licence or capability KONGRA does not hold, KONGRA says so instead of bidding.

KONGRA does not claim any government vendor approval, small-business or set-aside certification, contract award history, or registration status that it has not documented; eligibility is confirmed in writing against the solicitation. Send the solicitation, the response due date and any site-walk date, and KONGRA will respond with a plain assessment of fit.

What KONGRA can provide
  • Written scope response against the stated requirements
  • Line-item or narrative quote format, as your process requires
  • Attendance at a scheduled site walk where feasible

Build a maintenance scope from the asset list

How an asset list becomes a scope that can be priced and accepted

  1. 1Exact model and manual revision for each asset — not a category name.
  2. 2An asset-specific task list drawn from the documentation that matches that model and revision.
  3. 3A frequency for each task, with its basis stated: manufacturer instruction, duty cycle, environment or failure history.
  4. 4The qualified party responsible for each task, including where a properly licensed specialist is required.
  5. 5An acceptance criterion and a visit record, so completed work can be verified rather than assumed.

A scope built this way can be compared line by line against other bids, because each line names the asset, the task and why it happens at that interval. A generic checklist cannot be compared that way.

To prepare that asset list before requesting a maintenance proposal, your team can use the blank equipment and maintenance planning worksheet.

For production and material-handling assets, see industrial equipment preventive maintenance, which sets out the inventory, baseline and reporting steps in more detail.

Independence and regulated work

Independent service. KONGRA LLC is not affiliated with, endorsed by, or authorized by these manufacturers. Brand names are used only to identify equipment we service.

Regulated work is performed only within KONGRA’s legal license, insurance and practical service scope; where a licensed specialist is required, KONGRA says so before quoting.

Frequently asked questions

Does KONGRA respond to RFQs and RFPs?+

Yes. KONGRA reviews requests for quotation and requests for proposal for equipment repair, diagnostics and maintenance scopes that fall inside its service area and legal service scope. If a scope requires a license or capability KONGRA does not hold, KONGRA says so rather than bidding on it.

What documents can KONGRA provide for vendor onboarding?+

A completed W9 and a certificate of insurance are available on request. Additional vendor forms are reviewed case by case.

Can KONGRA work as a subcontractor to a general contractor or facility vendor?+

Yes. KONGRA can perform diagnostic and repair scopes as an independent subcontractor under a written agreement, within its legal license, insurance and practical service scope.

Does KONGRA offer maintenance agreements?+

KONGRA offers scheduled preventive maintenance arrangements defined by written scope, visit frequency and equipment list. Terms are agreed in writing before work begins; there is no standing claim of guaranteed response times outside a signed agreement.

How is pricing handled on contract work?+

Diagnostics are paid and priced before the visit. Repairs are quoted in writing after inspection and performed only after approval. Contract and recurring work is priced against a defined written scope.
